The Business Support Assistant role
A key part of the role will be assisting the Client Relationship Manager with new enquiries/ new business coming into the firm. This aspect of the role will involve taking calls from clients or returning calls to clients to obtain details about their legal enquiry.
For all departments except Residential Conveyancing, the role will involve after having spoken to prospective clients, completing a form setting out brief details about the enquiry/ matter and sending this to the relevant department within the firm for them to progress as required. In respect of enquiries received for our Residential Conveyancing team, the role will involve after having spoken to the prospective client, processing a quote using our quoting software , sending the quote to the client for them to consider and opening up a new matter on the case management system.
In addition to the new business tasks set out above, the candidate will also be required to cover the reception/ switchboard for 1 hour over lunchtime, a couple of days per week.
The candidate will also be required to assist with other general Business Support duties as and when required, including but not limited to – scanning a small proportion of incoming post to fee earners, dealing with outgoing post in preparation for it being collected, file archiving and destruction retrieving files from archive, locating deeds/wills being stored in the office and ordering stationary.
Experience and Knowledge
- Experience working in a law firm is not essential but is desired.
- It is essential that the successful candidate has a focused client service approach and excellent organisational and administrative skills.
- The successful candidate will also be confident, have excellent communication and interpersonal skills and be able to use their initiative.
- The successful candidate will be able to work independently but will also be a team player, they will have excellent attention to deal, be reliable and have a can do attitude.
- Good time management skills are required and the ability to work under pressure and to deadlines is also necessary.
